Job Description

Are you a detail-driven multitasker with a passion for delivering excellent customer service and administrative support? We’re looking for a Customer Service Representative who thrives in a fast-paced environment and collaborates well across departments to keep operations running smoothly.

Key Responsibilities

📋 Administrative Tasks

  • Answer and route phone calls, emails, and walk-in inquiries professionally
  • Maintain accurate and up-to-date customer profiles and records
  • Assist with data entry, filing, scanning, and general office organization
  • Generate daily, weekly, and monthly reports as needed
  • Support customer scheduling, billing, invoicing, and document handling
  • Maintain a clean, organized front office environment

📦 Shipping and Receiving

  • Receive and inspect incoming shipments with accuracy
  • Prepare outgoing shipments, including proper documentation and equipment
  • Maintain inventory records and support stock maintenance
  • Assist with ordering and restocking of parts, materials, and equipment
  • Coordinate rental equipment logistics, including returns and dispatch

💼 Sales Support

  • Prepare and send customer quotes and process orders promptly
  • Follow up with customers regarding order status, delivery, and satisfaction
  • Handle returns, warranty claims, and exchanges
  • Communicate with suppliers and vendors for order tracking and pricing
  • Support field and sales teams with timely customer updates and coordination

🧠 Qualifications & Skills

  • High school diploma required; Associate’s or Bachelor’s degree in Business Administration, Logistics, or related field preferred
  • 2+ years of experience in an administrative, customer service, or procurement support role
  • Proficient in Microsoft Office (Excel, Word, Outlook, PowerPoint)
  • Familiarity with Adobe, Google Docs, and inventory/order/rental management systems is a plus
  • Strong organizational and multitasking skills
  • Excellent communication and interpersonal abilities
  • Experience with Industrial RFPs is a plus but not required
